Financial and operating period, skater registration and general rules
The financial period of the Helsinki Figure Skating Academy (the Club) is the calendar year, i.e. 1.1.–31.12. The operating period of the development groups is 1.5.–30.4. Skaters register via the myClub software. By registering to a competition group, the skater
- accepts the Club’s rules, including these payment rules
- agrees to pay the fees mentioned below
- accepts the competition and disciplinary rules of Skating Finland (Suomen Taitoluisteluliitto)
- agrees to comply with the Skating Finland´s (Suomen Taitoluisteluliitto) code of ethics and anti-doping rules.
When a skater registers for a competition group, the registration is valid until further notice. The registration can be terminated by following the procedure and notice period set out in the ”Ending Skating Participation” section.
Content of fees
Season and membership fees cover the costs of the Club’s ice and off-ice training facilities, the salaries of permanent and hourly employees including social security payments, the costs of coaching equipment and supplies, the salary costs of coaches’ competition trips, and administrative costs for the entire season. Changes to training schedules due to exceptional schedules do not affect the amount of the season fee.
The amount of the season fee is determined for each operating season and is announced separately.
Fees and invoicing
The Club invoices skaters the following fees based on registration, usually monthly:
- season fee for the operating period from 1.5.-30.4., divided into eleven (11) monthly installments
- membership fee, for the operating period. Each skater is a member of the Club and the membership fee is invoiced once a year.
- competition fees for the competitions in which the skater participates. Competition fees are reviewed each operating period. Competition fees are invoiced separately (not in connection with the season fee).
- fees for intensive weeks included in the training program, if the Club organizes such
- fees for camps organized by the Club and forming a part of the training program (a separate budget is prepared for each camp, based on which the fees are invoiced).
- test fees, for tests according to the Skating Finland test system in accordance with the Skating Finland price list.
Invoices are sent to myClub software and must be paid by the due date using the invoice reference number. A reminder fee of 6 € may be charged from the due date for payment reminders. The Club may request an advance payment of a season fee or other invoice from a skater for a justified reason. The Board may also decide on additional season fee installments to secure the Club’s operations.
Payment arrangement, skating ban and collection
The Club’s operations are largely financed by the skaters’ season and membership fees, and their timely payment is essential to ensure the quality of coaching and continuity of operations.
In the event of payment problems, please contact the Club Treasurer, email: talous@taitoluisteluakatemia.fi immediately and agree on a payment arrangement.
If a skater has (despite payment reminders) more than two (2) overdue season fee installments, he or she cannot participate in Club practices (skating ban). The skating ban is valid until all overdue season fee installments or other Club invoices have been paid or a payment arrangement has been agreed in writing with the Club and has been adhered to. The Club’s Treasurer will notify you of the skating ban and its end.
Overdue invoices are transferred to a collection agency.
Sibling discounts
The Club grants a discount on the season fee for a sibling skating with the Club. The discount is 10% for the first sibling, 15% for the second and 25% for the following siblings. The discount is calculated on the lower fee or fees.
Receiving the sibling discount requires that sibling information is provided in the myClub system.
Sick leave, partial training ban and related payment refunds
By registering for the season, the skater commits to paying the season fees and other fees for the entire season. Absences other than sick leave are not refunded, such as holidays, trips, other absences chosen by the skater, confirmation and similar camps, schedule overlaps e.g. due to another hobby.
Refunds are granted for sick leave against a medical certificate. The medical certificate must indicate the start and end date of the training ban and must be submitted without delay to the Club Treasurer, talous@taitoluisteluakatemia.fi . A refund is granted for an absence lasting more than 14 days, so that during the first 30 days the refund is 50% of the season fee and for the following days 100% until the end of the absence. No refund is granted for payments made during the notice period.
Situations in which a skater, for example, returns to training after an injury (partial training ban; jumping ban, training within the limits allowed by pain or similar) are handled on a case-by-case basis. The Board may grant a partial or full exemption of the fees for a justified reason.
Skating passes (licenses) and insurance
A skater must have a valid Skating Finland´s skating pass (license) and sports insurance, which also covers accidents and injuries that occur in competitive sports. When traveling abroad, skaters must have valid travel insurance or a European Health Insurance Card if the travel destination is within the EU.
The skating pass period is 1.5.–30.4. Luistelu- ja toimihenkilöpassit – Suomen Taitoluisteluliitto ry (stll.fi). A skating pass must be purchased from Suomisport: https://info.suomisport.fi/.
Ending Skating Participation
A skater may terminate their registration in writing with two (2) months’ notice, with the notice period starting at the end of the month of notice. Any fees already paid will not be reimbursed.
Notice of termination must be sent to the Club Treasurer and Board to the following e-mail addresses: talous@taitoluisteluakatemia.fi and hallitus@taitoluisteluakatemia.fi
Transferring from one group to another
A skater may transfer from one group to another at the turn of the month, starting from the 1st day of the month. Billing and the applicable payment policy change on the date of transfer. Note: The club’s different payment policies have different notice periods. Termination always follows the payment policy applied to the group in which the skater is placed on the date of termination.
Club transfer
When changing clubs, the termination procedure and notice period defined in the ‘Ending Skating Participation’ section must always be followed.
a) Transfer in the beginning of a new skating season
If the skater wants to change clubs at the turn of the skating season, she/he purchases a skating pass to the club of her/his choice through Suomisport. A separate notice of the club transfer is not needed. The skater is always obliged to settle all outstanding payments and any other obligations to the old club. HTA is entitled to seek its open receivables according to the Club’s procedures.
b) Transfer during the skating season
If a skater changes clubs in the middle of the season, the old and the new club must agree in writing on how competition registrations, payment of judges’ expense invoices, and other practical matters will be handled for the remainder of the season. If the skater has already competed during the season, they will continue to represent their former club in competitions until the end of the current season, and the new club will take responsibility for the matters mentioned above.
The skater (or the guardian of a minor skater) must notify Skating Finland in accordance with the association’s instructions. When changing clubs, the skater must always ensure that all obligations to the former club are settled. HTA is entitled to collect any outstanding receivables in accordance with its own operating procedures.
Choreography fees and competition music
The skater pays the choreography fees; the costs related to the creation of choreography and competition music are paid separately.
The Club’s right to make changes, contact information
The Club reserves the right to make changes to the rules described in this document during the season.
